1. Payment Terms

• All invoices must be paid according to the terms stated on the final invoice (C.O.D., A.S.A.P., 7 Days, or 30 Days).
• No late payments will be accepted under any circumstances.

Ad Hoc Clients
Ad hoc clients are those who use our services infrequently and who do not have a 30-day account or formal agreement with Spot On Polygraph.

• These clients must pay 85% of the quote or invoice upfront, and the remaining 15% must be paid before the final report is released.
• No final reports will be sent until the full invoice amount is settled. We enforce a strict zero-tolerance policy on this.

Late Payment Penalties

• If payment is not made as stipulated, a 25% penalty fee will be added to the outstanding amount.
• This penalty will increase every 30 days by an additional 25% until the invoice is fully paid.

Default Listing

• Spot On Polygraph is a registered member (Membership No. 6675) with Accountability since February 2012.
• Should full payment not be received within 20 days, the client/company may be listed as a defaulter with the National Defaulter Credit Bureau.

2. Service Liability

• Once a quote is accepted or an online booking is made, the client is responsible for the full invoiced amount, regardless of:
  • Whether a confession is obtained or not.
  • Whether the subject completes the test.
• If 6 individuals are booked, payment for all 6 is required, even if someone refuses to be tested.
• Should a full confession be obtained, an additional fee will be added to the final invoice.

Travel-Related Adjustments
Quotes may change based on circumstances on the day of booking due to:

• Petrol price changes
• Distance travelled
• Toll fees
• Additional agreed-upon expenses

These will be discussed with the client and will always remain reasonable.
Office Consultations

• When clients use the Spot On Polygraph office, a consultation fee will be added to cover general amenities (air-conditioning, water, coffee, etc.).

3. Booking and Cancellation Policy
No cancellations are allowed once bookings are confirmed.
Booking Responsibility

• The individual placing the booking (online, email, or phone) is the primary person responsible for payment.
• An 85% deposit must be paid within 12–24 hours to secure the booking.
• If the deposit is not received, Spot On Polygraph may cancel the booking to open the slot for other clients.

Cancellation Fees

• If cancellation occurs within 7 days of the booking date, the client forfeits the 85% deposit already paid.
• If a deposit was not paid and the booking is cancelled, the client remains liable for 85% of the full invoice amount as a cancellation fee.
• If a booking was confirmed verbally and no deposit was paid, the client must still pay 85% of the quoted amount within 3–7 days of cancellation.

4. Confidentiality and Reporting

• All sessions are recorded on camera. Clients may bring their own memory stick or purchase one from us.
• All information shared between examiner and examinee is strictly confidential.
• Results are only shared with the subject unless explicit permission is granted.

Report Delivery

• Reports are emailed within 12–72 hours, depending on examiner workload.
• Accuracy requires careful review; however, we always aim to deliver as quickly as possible.

5. Test Day Procedures

• A brief meeting will take place on the day of testing to discuss case facts and formulate questions.
  • The responsible person must be available on time.
• Each test takes approximately 1 hour per person.
• The full procedure and questions will be explained to the subject beforehand.

Possible Outcomes
Polygraph results may be:

• Pass – No deception indicated
• Fail – Deception indicated
• Inconclusive – No clear result

Inconclusive results (±2%) may occur due to factors such as:

• Lack of sleep
• Cold conditions
• Strong medication (e.g., antidepressants)
• Illegal drug use
• Physical or emotional distress
• Recent trauma or personal events

Retesting, voice stress analysis, or eye-detection testing may be recommended.

6. Testing Conditions (Friendly Request)
To ensure optimal testing:

• Provide a closed office, a large table, and three chairs.
• Ensure drinking water is available.
• The room must be warm, especially in winter.
• Subjects must be comfortable in English; if another language is required, ask for Mr. Andrew (Examiner).
• Subjects must:
  • Be sober
  • Have slept at least 4 hours

Daily Capacity Limits

• Our association only allows 5–6 tests per daydue to required examiner accuracy and energy.
• Exceeding this limit risks human error and may result in our certification being withdrawn.
• Chart analysis after testing takes a minimum of 30 minutes per subject.

7. Agreement
By placing a booking, the client acknowledges and accepts all terms and conditions outlined above and agrees to comply fully.

Discount Policy
Clients may qualify for special pricing only if full payment is made before testing begins.

• Payment must reflect before testing starts.
